When Multitone was approached by a large hospitality group to provide a communications solution for their prestigious events and conferencing centre, the challenge for us was to create an integrated, cost-effective strategy specific to the customer's requirements. It was essential that it would streamline operational and procedural aspects; identify and provide rapid resolution of problems; and facilitate the efficient delivery of customer service.
Our customer was looking for a modern and effective solution to replace their existing system. Our approach was to focus on building and implementing an entire strategy, dedicated to optimising all communication within the network, in order that services could be delivered in a quicker and more efficient manner.
The site encompassed a large physical area with an impressive capacity for conferences and events. With such a large operation, the need for effective communication between management, staff and individual departments was vital. Within the procedures required for the smooth running of the centre, individuals needed to be 'connected' to one another at every level, and in real time.
For instance, in a scenario of a catered event, the operations manager needed to be able to communicate with the waiting staff to give the order to clear, and also to the kitchen to give the alert that they were ready for the next course; the waiting staff needed to be able to communicate with the sommeliers to ensure the correct order of service; the operations manager needed to be able to communicate with the porter to advise of a drink spillage; and the waiting staff needed to be able to communicate with security to advise in the case of a problem guest. From front of house staff, to management, to maintenance - the entire network needed to be in constant communication.
We provided our customer with a communications strategy based on a site-wide implementation of Access-IP with DECT, with the capability of including up to 256 handsets. This solution not only met the demand for extensive coverage, but was also robust and resilient.
We also identified the need to provide for expansion. With the capability of the Access-IP to change the dimensions of the coverage quickly and effectively, it provided the solution for existing challenges, and was capable of being expanded to include future growth within the site. In addition, our solution amalgamated the telecommunications systems with the site's fire alarms, ensuring better management of communications in an emergency.
Once established, the customer immediately saw the benefits of having a dedicated and integrated communication system. Having one point of contact for the entire system meant that issues could be dealt with quickly and effectively, freeing up staff time and making for smoother operational procedures.
In order to maximise the benefits of the new system, staff and management needed to be confident and proficient with the new operation. As part of our service, we provided full training to all staff across the network, not only ironing out any problems in the initial setup, but also gathering and documenting valuable feedback which was vital to building an effective integrated communication strategy.
